Hi [client name], Following up on invoice #[invoice number] for [amount], which was due on [due date]. It's now 7 days past due. You can pay here: [pay link] Could you let me know when I can expect payment? If anything on the invoice needs fixing, just reply and I'll sort it. Thanks, [your name]
Tips
- Ask a direct question, such as when you can expect payment. A question is easier to answer than a statement.
- Offer to fix the invoice. Sometimes it is stuck because of a missing purchase order number or the wrong address.
- Check you are writing to the right person. At larger clients, accounts payable may be a different email address.
Quick answers
How do I ask a client for payment without sounding rude?
State the facts (invoice number, amount, due date), give a pay link, and ask a direct question about when payment will be sent. Offer to fix anything wrong with the invoice.
