Final notice before collections: email template

What this does

This page gives you a ready-to-copy final notice for a client invoice that is badly overdue, sent before you hand it to a collection agency or take another formal step. It states the facts, gives a pay link and one last deadline, and says plainly what happens next. Copy it and fill in the [brackets], or press "Fill it in for me" to open the free reminder writer with the dates set for you. It's a fixed template, not legal advice. Free, no sign-up.

When an invoice is months late and nothing has worked, one last clear email gives the client a final chance to pay or agree a plan, and gives you a clean record that you asked.

Only send this if you really will take the next step you name. An empty threat costs you more than it gets you. If you haven't chased this invoice in writing yet, start with the day 30 final notice or the 60-days-overdue email.

Fill it in for me Opens the free reminder writer in the firm tone with the due date set to 60 days ago, so you can see the whole chase and the final notice. Change the date to your real one. No sign-up.

The template

Words in [square brackets] are for you to fill in. Pick the one next step in [next step] that you will actually take.

Before you send it

  • Gather the paper trail: the agreement or quote, proof you delivered, the invoice and every reminder. A collection agency or court will ask for it.
  • Check your terms. Only mention a late fee or interest if your contract or invoice terms already allow one. This template doesn't add one.
  • Send it to whoever pays invoices as well as your usual contact, and keep the tone factual. No insults, no threats you can't carry out, and don't contact the client's customers or post about them in public.
  • Collection agencies usually charge a share of what they recover. Small claims limits and fees depend on your state. Look both up before you name one.
  • Leave a door open. A payment plan you agree in writing often gets more money, sooner, than anything formal.

Quick answers

What should a final notice before collections say?

The invoice number, amount, due date and how late it is; the dates of your earlier reminders; a pay link; one clear deadline; and the single next step you will take if it isn't paid or agreed by then, such as passing it to a collection agency.

How long should I wait before sending an invoice to collections?

There's no single rule. Many freelancers send a final notice once an invoice is 60 to 90 days overdue and earlier reminders have gone unanswered, then give a last deadline of 7 to 14 days. Check your own contract terms first.

Can I add a late fee in a final notice?

Only if your contract or invoice terms already allowed one. Don't add a new fee at the final-notice stage. If in doubt, ask a lawyer or your local small business advisers.
