Small Bot Fix Templates Late fee email
Late fee email template
What this does
This page gives you ready-to-copy wording for charging a late fee on an overdue invoice: a heads-up that the fee is coming, the email that adds it, and an offer to waive it if the client pays by a date. Use it only if your contract or invoice already set out the late fee. Fill in the [brackets]. It's a fixed template, not legal advice. Free, no sign-up.
Three copy-ready emails for adding a late fee to an overdue invoice: the heads-up, the updated invoice, and an offer to waive the fee if they pay by a date.
A late fee works best as a reason to pay now, not as a punishment. Give the client one clear warning with the date and amount, point to where it was agreed, and make paying the easiest thing to do. If your contract never mentioned a late fee, skip these and use the firm payment reminder instead, then add a late-fee line to your terms for next time.

Words in [square brackets] are for you to fill in.
Subject: Invoice [number]: late fee from [date]
Hi [client name], A quick reminder that invoice [number] for [amount] was due on [due date] and is still open. As set out in [our agreement / the invoice terms], a late fee of [fee, e.g. $35 / 1.5% per month] applies to balances unpaid after [date the fee starts]. I'd much rather not add it, so if you can pay before then, it won't apply. You can pay here: [pay link] If it's already on its way, or something on the invoice needs checking, just reply and let me know. Thanks, [your name]
Subject: Updated invoice [number]: late fee added
Hi [client name], Invoice [number] for [amount] is now [X] days past its due date of [due date], so the late fee of [fee] from [our agreement / the invoice terms] has been added. New total: [new total] Pay link: [pay link] I've attached the updated invoice. Please let me know when I can expect payment. If there's a problem I don't know about, reply and we'll work it out. Thanks, [your name]
Subject: Invoice [number]: I'll waive the late fee if paid by [date]
Hi [client name], Invoice [number] is still open, and a late fee of [fee] now applies under [our agreement / the invoice terms], bringing it to [new total]. To make this easy: if the original [amount] is paid by [date], I'll waive the fee completely. Pay link: [pay link] After [date], the full [new total] will be due. Thanks for sorting this out. Best, [your name]
Tips
- Only charge a fee the client agreed to in writing, in your contract, quote or invoice terms. Quote the exact wording if they push back.
- Put the late-fee line on every invoice, for example: "Payments received after [due date] incur a late fee of [fee]."
- Common choices are a flat $25 to $50, or 1% to 1.5% a month on the balance. Some states cap interest and late charges, so check before you pick a number.
- Warn once before the fee applies. A surprise fee tends to get a dispute; a warned one tends to get a payment.
- Offering to waive the fee for payment by a set date is often the fastest way to get paid.
- Keep sending a pay link. Every extra step gives the client a reason to wait.

Quick answers
Can I charge a late fee on an invoice?
Usually only if the client agreed to it before the work, for example in your contract, quote or invoice terms. If the fee wasn't agreed, adding one afterwards is hard to enforce and tends to sour the relationship; put it in your terms for the next project instead.
How much is a typical late fee?
Many freelancers use a flat fee (for example $25 to $50) or 1% to 1.5% of the balance per month. Some states cap interest or late charges, so check your state's rules or ask an adviser before you pick a number.
How do I tell a client a late fee will be added?
Give one clear heads-up: the invoice number, the amount, the date the fee applies, the fee amount and where it was agreed, plus a pay link. Then, if the date passes, send a short updated invoice. Offering to waive the fee if they pay by a set date often gets the invoice paid fastest.
